CHATGPT has a vast range of potential applications in various fields, including human resources (HR). In countries like Zimbabwe, ChatGPT can be leveraged on to streamline HR processes and improve efficiency.

As technology advances, the integration of ChatGPT, an artificial intelligence (AI)-driven chatbot, presents HR professionals with an opportunity to optimise their workflows by streamlining processes, improving decision-making capabilities, enhancing communication channels, and fostering employee well-being.

What is ChatGPT?

ChatGPT is an AI chatbot that uses natural language processing to create humanlike conversational dialogue. The language model can respond to questions and compose various written content, including articles, social media posts, essays, codes and emails.

It is similar to the automated chat services found on customer service websites, as people can ask it questions or request clarification to its replies. The GPT stands for “Generative Pre-trained Transformer”, which refers to how ChatGPT processes requests and formulates responses.

Some of the tasks it can perform are composing essays, writing emails, generating programming codes etc.

ChatGPT can provide these answers as it essentially harvests information about a variety of topics from across the web and delivers the answers in a concise and conversational manner.

Who owns ChatGPT?

ChatGPT reached new heights of popularity in the last few months — and it is no surprise! The online language model can do some pretty mind-boggling stuff, but who owns ChatGPT?

ChatGPT is owned and was developed by AI research and deployment company, OpenAI.

The organisation is headquartered in San Francisco and was founded by some prominent players including Elon Musk, Sam Altman, Peter Thiel, OpenAI chief scientist Ilya Sutskever, Jessica Livingston, and LinkedIn co-founder Reid Hoffman.

Since its introduction, the AI bot has been sparking various concerns about people using AI to replace human writing.

Just to note, many students are now using the model to compose essays and assignments. Universities and anti-cheating software firms are already playing a game of cat-and-mouse trying to develop tools to combat this.

How ChatGPT can be utilised in HR management

ChatGPT can be utilised as a digital assistant to handle routine HR tasks such as payroll management, employee onboarding and benefits administration.

This would free up HR personnel to focus on more complex tasks that require a human touch. Moreover, ChatGPT can be employed to enhance employee engagement and communication by providing an always-available platform for employees to ask questions, seek guidance and provide feedback. It can also be used to schedule interviews and send reminders to candidates.

Additionally, ChatGPT can assist HR staff in managing employee data, such as leave requests, time off, and performance evaluations. ChatGPT can be used in various ways in HR. Here are a few examples:

Recruitment and onboarding employees

ChatGPT can be used to assist with the initial screening of job applicants and it can ask a series of pre-determined questions to assess the candidate's qualifications and experience thus saving HR personnel time and effort in reviewing resumes.

HR professionals could use the AI to quickly and effectively respond to queries from job applicants. Answering candidate questions is only the tip of the iceberg when it comes to the recruiting potential of ChatGPT.

Recruiters could quickly use ChatGPT to generate job descriptions, job ads and other recruitment material.

Not only on recruitment, ChatGPT can be used to answer common questions that new employees may have during the onboarding process.

This can include information about company policy, benefits, and procedures and general information about the company.

Amplifying employee engagement and retention efforts

Employee engagement and retention are fundamental to an organisation’s success and with ChatGPT, the process can actually be better. ChatGPT can assist in administering employee satisfaction surveys and analysing results, providing valuable insights into employee sentiment and helping to identify areas for improvement.

The AI chatbot can also offer useful insights to help you better understand your staff. The chatbot may even offer predictive analysis and recommend steps to prevent undesirable circumstances because AI powers it.

Manual data preparation and enrichment consume an excessive amount of team time and can have errors. This  can assist in comprehending minute information that affects an organisation’s success. For instance, it can assist you in understanding employee leave, attendance, and break trends and alert you to employees who may be slacking off at work. Such in-depth information is very crucial for an organisation.

Improves internal communications

Internal communication is an essential aspect of workforce management and occupies a substantial portion of any company’s HR.

With generative AI tools, all you have to do is give it a prompt, and it will automatically write the message or create the right visuals for you.

You can use it to come up with an idea for the content, do research, write a title, and create an innovative first draft. Suppose you don’t like the writing; you can improve it with a simple prompt.

However, it is essential to note that ChatGPT’s successful implementation in Zimbabwe’s HR departments require adequate training and integration with existing systems to ensure seamless operation. It also requires a robust data security framework to protect employee data and comply with data regulations.

Lastly it is important to note that ChatGPT should not replace human interaction entirely, as some HR tasks require the personal touch of human resources practitioners.
